I Added a User, but They Cannot Log In. What Could Be Wrong?

If a newly added user is unable to log in, it is usually due to one of the following reasons. Please review each point below to identify and resolve the issue:

1. User Account Is Inactive or Suspended

Ensure the user account is set to Active/Enabled in the LMS.

Sometimes accounts are created in an inactive state or may be automatically suspended due to policy settings.

Administrators should check the user profile and enable the account if required.

2. Email Verification Is Pending

If email-based authentication is enabled, the user may need to verify their email address before logging in.

Ask the user to check their inbox (and spam/junk folder) for a verification email.

If the email was not received, resend the verification email from the admin panel.

3. Incorrect Username or Password

Confirm that the user is entering the correct username/email ID and password.

Passwords are case-sensitive.

If the user has forgotten their password, advise them to use the “Forgot Password” option to reset it.

4. User Role Is Not Assigned or Is Incorrect

The user must be assigned an appropriate role (e.g., Student, Trainer, Manager, Admin).

Without a valid role, the system may block login access.

Check the user’s role assignment and update it if necessary.

5. Authentication Method Mismatch

If your LMS supports multiple login methods (manual login, Google, LDAP, SSO, etc.), ensure the user is using the correct authentication method.

For example, users created via SSO may not be able to log in using a manual username/password.

6. Site or Course-Level Restrictions

The LMS may have IP restrictions, login time limits, or access policies configured.

Confirm that the user is not restricted by location, device, or scheduled access rules.

7. Browser or Cache Issues

Ask the user to clear their browser cache and cookies.

Suggest trying a different browser or opening the LMS in an incognito/private window.

8. Account Locked Due to Multiple Failed Attempts

Multiple incorrect login attempts may temporarily lock the account.

Admins can unlock the account or advise the user to wait and retry later.
